I am excited to announce that we have just added a new feature to our service. You now have the ability to send reminders a configurable number of hours before the appointment time. This is a great way to send your customers a last-minute reminder for their appointment. In this tutorial, I’ll take you through the steps of setting up a text message reminder that will send a reminder an hour before your customer’s appointment time.

Quick Tutorial to Send a Reminder an Hour Before the Appt Time

First, log into your account and click on “Reminder Types”. Go ahead and click “Create New Reminder Type”. For description, type in “Text Reminder an Hour Before Appt”. Under “Outreach Type”, choose “Text”. For language, select “English”, and leave the Default checkbox unchecked. In the “Send” dropdown list, choose “On appt date only”. This means that we will only send this reminder ON the actual appointment date and not before. Set it to send 1 hour before the appt time. Leave “Expect Response” unchecked and hit “Create”.

Now click on the pencil icon for the reminder type that you just created to edit it. Scroll down a little and press “Quick Add Text Block”. For text block name enter AppointmentToday. Under Text Block Content enter “Hello, we look forward to seeing you at your appointment today at” – and hit “Create”.

Now we will add the message and the appointment time.

For “Message Area”, choose “Message Content”. The “Message Type” will be “Text Block”. For “File Selected”, choose AppointmentToday.

Now press the blue plus sign to add a new row.

For “Message Area”, choose “Message Content”. The “Message Type” will be “Dynamic Field”. For “File Selected”, choose ““.

Check the “Test This Reminder on Save” and enter your phone number. Press “Save Changes”. This will save your reminder and send you a sample text message.

That’s all there is to it. Now you can schedule the appointment and it will send this reminder out exactly an hour before the appointment time!
