Live Calls vs Automated Appointment Reminders

young attractive frustrated businesswoman holding help message overworked at office computer, exhausted, desperate under pressure and stress isolated on white background

There are a lot of folks out there who insist on making personal reminder calls to every one of their customers. This is really a huge waste of time and resources for companies and does it really accomplish much in the end? Well, let’s break it down…

Myth

Customers do not want to get a call from an automated system they would rather have the personal touch of a live call.

Fact

Most customers would rather get a quick text message or an automated call to remind them of their appointment than speak to a live person.

Myth

I can’t afford to send automated appointment reminders.

Fact

Automated appointment reminders are way less expensive than having your staff make the calls. Let’s say it takes a person 2 hours to make the 30 or 40 reminder calls for the next day’s appointments. And as anyone who has made reminder calls will tell you, there are a lot of folks who insist on telling you their life story, which although usually interesting, is not the best use of company resources. Even if you pay that person a measly $15 per hour it still costs $30.  Compare that to the $3 that it costs to send 30 automated reminders through our service. Simple math – 10 times as much! What’s the alternative? Not making the calls at all? Chances are that even the most organized people will inevitably forget the appointment from time to time and how much does a no-show cost you?

Myth

I don’t have time to figure out how to integrate automated appointment reminders into my business

Fact

With our service, it’s super easy and you can be up and running in a couple of hours.  There are so many ways to integrate with our site including syncing a google calendar, uploading daily files, or scheduling them right through our site! We can even integrate with your EMR for a more advanced setup and even this is relatively inexpensive and easy! We are also available to help you set up your account or help you review it and make sure everything is set up correctly.

Myth

Appointment reminders are annoying and impersonal

Fact

The point of an appointment reminder is to remind someone of an appointment.  If you want personal, call your mother! It’s a joke but it’s also true, which is why it’s funny, well not really that funny, but I digress…. With our service, you can custom tailor reminders to do and say whatever you want.  You can even record your own call greetings for a more personal touch.  The familiarity of hearing a doctor’s voice can add the personal touch and raise the trust level of the reminder.

Myth

Most automated appointment reminder services are located in China or India or somewhere like that and I will never get good customer service.

Fact

That’s actually not a myth.  However, we are the exception. We are located in Denver, CO and only operate in the United States and Canada.  We are available for phone support, email support, or you can chat with us directly through our website.  We won’t call you “Sir” or “Maam” just so it doesn’t sound as bad when we tell you what we can’t do for you (e.g. “I’m sorry sir, we just can’t refund your two dollars”). In fact, as the owner of this company, I still take many tech support calls because it’s one of the best parts of my job. I really do love helping my customers with technical issues and teaching them about our services.

There are really a lot of good reasons to use an automated reminder service for your company and with us it’s super easy to get started.  If you have any questions, please email me directly at jonah@appointmentreminders.com

Thanks!
