You can create your own Spanish text blocks to use in your Reminder Calls, Texts, or Emails. You can also record your own Spanish voice files right through the phone that you can then use in your Spanish Reminder Calls.
I will walk you through the process in this posting.
Step 1: Create a Reminder Type #
If you already have a Spanish Reminder Type created that you want to edit, you can skip this step.
I will create a new Spanish Call Type Reminder. With a Call Reminder I can use either text blocks or voice files. However, you can use the same process to edit Text Message and Email Reminder Types with the exception that voice files can only be used in calls but text blocks can be used in all three outreach types (call, text, and email).
- Navigate to the “Reminder Types” page by hovering over the Navigation Menu and selecting “Reminder Settings –> General Reminder Settings –> Reminder Types (Templates).
- Click on the “Create a New Reminder Type” button.
For Description/Name enter ” Spanish Reminder Call”.
For Outreach Type, Choose “Call”.
For Language choose Spanish.
You can leave everything else the same for now.
Press Submit.
Step 2 (Text Block): Create a New Text Block #
Now we will create a new text block to use in the Reminder Type. To get to the text blocks screen hover over the navigation menu and go to “Reminder Settings –> General Reminder Settings –> Text Blocks”.
Then click on “Add New Record”.
Lets Say that instead of an appointment, this reminder is for a Landscaping Estimate.
- For Text Block Name, type “Landscape Estimate”.
- For Text Block Content type “This is Sun Prairie Landscape Company reminding you of your upcoming estimate on”.
- For Spanish Text Block Content enter “Soy Sun Prairie empresa de paisajismo para recordarle su próximo presupuesto sobre”.
- Press Save.
Step 3 (Text Block): Add the Text Block to Your Reminder Type #
- Navigate back to the “Reminder Types” page by hovering over the Navigation Menu and selecting “Reminder Settings –> General Reminder Settings –> Reminder Types (Templates).
- Click on the Content button for the Spanish Reminder Call.
- For the first row, change the Message Type to “Text Block”.
- Change the File Selected to “Landscape Estimate”.
- Delete the next 4 Rows.
- Press “Save Changes”.
We have successfully changed the content of this Spanish Call Reminder.
Creating and Adding a New Spanish Voice File #
If we would prefer to record a custom Voice File to use in our reminders, we can easily do that as well. Here’s How…
Step 2 (Voice File): Create a New Voice File #
- Navigate to the Custom Voice Files page by hovering over the navigation menu and selecting “Reminder Settings –> Call Reminder Settings –> Custom Voice Files.
- Click on “Create a New Voicefile”
Unlike Text Blocks, Voice Files do not need to have an English Version. However, naming them with a Spanish_ preceding the name helps differentiate the Spanish files.
- For Voice File Name enter “Spanish_LandscapeEstimate”
- For Voice File Content Enter “Soy Sun Prairie empresa de paisajismo para recordarle su próximo presupuesto sobre”.
- Press Save
Now that you have created the file, we can now record it. Click on Re(Record) to record the file.
Enter the “Phone Number to Call” as a phone number where you can answer the phone to record the file. Then press “Call me!”
Follow the prompts in the phone call to record the message. After it’s recorded it should say “Recording Complete!” on the screen.
Now we just need to add it to our Reminder Type.
Navigate back to the “Reminder Types” page and click on “Content” for the Spanish Reminder Call.
Lets’s just replace the Text Block that we created with the Voice File.
- For the first row, choose “Custom Voicefile”.
- For File Selected, choose “Spanish_LandscapeEstimate.wav
That’s all there is to it! Now your Reminder Type will have the Voicefile that you recorded.
