Calendars – Linking a Google Calendar to Our Site

This topic will provide info on linking a Google Calendar to our website to easily send call, text, or email Google Calendar Reminders.

By linking a Google Calendar to our site, it will allow you to send out Google Calendar Reminders either by reading the first and last name of your customer from the appointment title, or adding a simple tag such as <Text Joe Smith 3035551212> in the event description.

Currently we only support Google Calendar but you can also link any calendar that syncs to Google such as Week or Cozi. Linking a calendar is not supported in express accounts. If you have an express account and wish to send Google Calendar reminders, you will need to upgrade to a standard account.

To get to the “Calendars” page, ensure that you are logged into your account. Then find either the “MY COMPANY” box in the upper right hand corner or the “Account Navigation” link. Click on either of these to show the page drop-down list. Then click on “Calendars”.

When you get to the “Calendars” page, you will be presented with a list of all your current linked calendars. If you have not added any calendars then the list will be empty. You can link as many calendars as you want.  There is no limit.

Below is a screenshot of this screen. The columns are as follows:

  • Calendar Type: This is the type of calendar that you are linking to (Currently Google is the only type we support – however, many calendars sync with Google such as Cozi or Week.)
  • Calendar Name: This is the name that you decide to reference the calendar by.
  • Link Status: This is the current status of the link between your calendar and our site.
  • Active: Shows whether or not the calendar is currently in use by our site.
  • Action: Contains links to Edit,Delete, or View Reminders for the calendar

When you try to link a new calendar or edit a calendar, you will see the page below:

Google Calendar Appointment Reminder Settings

  • CALENDAR READ SETTINGS – This is the section that allows you to choose how we read events from your Google Calendar
  • CALENDAR WRITE SETTINGS – This section will allow you to choose whether you want us to write back to your Google Calendar
    • Change Event Color – Will change the color of your Google Calendar event based on the customers response to your reminder.
    • First Expected Response Color – Set it to this color if the response matches the first expected response (from the Reminder Types page).
    • Second Expected Response Color – Set it to this color if the response matches the second expected response (from the Reminder Types page).
    • Third Expected Response Color – Set it to this color if the response matches the third expected response (from the Reminder Types page).
    • Write Reply To Event: Will write your customer’s response back to your Google Calendar event Description
  • BUTTONS
    • Link Calendar Button: After you have entered a Calendar ID, click on this button to link the calendar.
    • Update Reminders Button: (*Only available after you are successful at linking a calendar) After you have successfully linked a Calendar, you may click on this button to manually import appointment information and go to the Event View for this calendar. *Note – this is not a necessary step because calendar information will be downloaded periodically. However, this is a good way to confirm that you have the Calendar set up correctly and that all the information is up to date.
